Accounting: how to export your data correctly

If you’re using accounting & invoicing software like Debitoor to manage the incoming and outgoing cash flow for your business as well as to stay on top of your invoices, you might reach a point when you’d like to backup your data on your own hard drive, or perhaps download it to share with your accountant.

In Debitoor, sticking with our belief that accounting and invoicing can and should be simple and straightforward, we’ve kept this in mind across all aspects of the software, including the process for exporting your data.

Data export via your accounting software

It’s possible to export the full range of data from your account in just a few clicks. Here’s how to export your data:

  • Log in to your Debitoor account
  • Click on ‘Settings’ in the upper right corner
  • Select ‘Settings’ from the dropdown menu
  • Click on the ‘Account’ tab
  • Scroll down to the ‘Export Data’ section
  • Select your data, set a date range, and choose your format and click ‘Download’

If you’re exporting your invoice list and want to include the PDF versions of your invoices in your export, be sure to check the box next to ‘Include attachments’ before you hit the download button.

In this section, you’ll also see your options for what types of data you can export. This includes:

  • Invoices
  • Expenses
  • Payments
  • Customers
  • Suppliers
  • Products, and
  • Other Income

You’ll notice that for some, you can also set a date range. You can also choose the file type you prefer. Select your data to be exported either in an Excel or .csv file.

Working with your accountant

What does exporting data have to do with your accountant? Well, it’s probably obvious, but the data export function compiles all of your data into a convenient spreadsheet (and accountants love those, right?).

But more than that - you can invite your accountant to collaborate right there in your account with their own unique log in from our Debitoor Studio, specially created for accountants. From this access, they can take care of the data export, giving them access to the information they need, when they need it.

By inviting your accountant to collaborate, you save yourself (and your accountant!) time, headaches and the seemingly endless back-and-forth that can occur when specific data is needed.

Ready to start working better and faster with your accountant? Here’s how:

  • Log in to your account
  • Click on your ‘Contacts’ tab
  • Select ‘Accountant’
  • Click the blue button labeled ‘Invite Accountant’
  • Enter their email and click send

If they’re new to working with Debitoor, they’ll be invited to set up their own account in Debitoor Studio to manage their clients and access necessary information exports when necessary.
