Online or electronic invoice?

Every so often, our customer support team receives a message asking about how to create an electronic invoice using Debitoor invoicing software.

While the difference between an electronic and online invoice might not be immediately clear, it should be noted that there is a distinct difference and it isn’t possible to create an electronic invoice with Debitoor.

This is due to the fact that the main difference lies in that an electronic invoice is a different file type that is delivered in a manner different from that used when issuing an online invoice. While an electronic invoice is online, it’s important to understand the differences.

What is the difference between an online invoice and an electronic invoice?

Your online invoice

An online invoice template should include all of the fields required by law as fields that must be filled out in order to complete the invoice in either an online or print version.

Due to the small file size of this type of invoice, it can easily be emailed to your customer without the need to resort to any of the slower, more traditional forms of mailing a business document.

Also, with online invoicing software like Debitoor, you can design your invoice to reflect your brand, as well as adding unique personal touches. In this way providing your customers with a professional, legal invoice that still allows you to express your business identity.

An online invoice also allows you to create and send invoices to your customer without needing to worry about the exorbitant cost of ink cartridges for your printer or wasting paper. You are also able to edit your invoice, depending on the circumstances.

However, although it is created online, this does not mean that it is an electronic invoice.

Online invoice vs. electronic invoice

When an electronic invoice is issued, the content cannot be changed. The document shows the time and date that the invoice is issued, as well as the signature of its creator. An electronic invoice is usually in XML or EDI (Electronic Data Interchange) format. It’s generally issued through a web-form based online.

Because of these requirements, it isn’t currently possible to issue an electronic invoice with Debitoor.
